BIG Family Weekend 2019

Potential Plus UK's BIG Family Weekend is back in Peterborough on Saturday 26th and Sunday 27th October 2019.

Whilst the children enjoy their activities, parents and carers have a keynote talk and a variety of workshops that they can participate in.

 

DAYTIME VENUE

Ken Stimpson Community School, Staniland Way, Werrington, Peterborough PE4 6JT is 5 miles from Peterborough train station.

Potential Plus UK would like to thank Ken Stimpson Community School for helping us to host this event. All of the daytime activities take place on site. You will be emailed site maps for all the activities a few days before the event. There will be additional maps available at registration.

Duration

The event runs over the whole weekend. Families can opt to attend on the Saturday only, the Sunday only, the Saturday evening or any combination.

No Smoking

No smoking is permitted on site.

 

BOOKING AND PAYMENT

You can choose to pay by:

  • PayPal
  • Debit or credit card as a guest at PayPal
  • Cheque made payable to Potential Plus UK and received within 10 days.

There is NO ADDITIONAL BOOKING FEE and NO CARD FEE. Anyone without access to the internet should contact Potential Plus UK on 01908 646433 during office hours and we will process the booking for you.  

Booking Confirmations

All bookings will receive a confirmation by email as soon as payment is received. Please print a copy of the confirmation to bring to the event as your ticket and a reminder of the activities you have booked. Potential Plus UK reserves the right to cancel any workshops prior to the event if numbers mean they are not feasible. In such cases, families will be contacted by email or by telephone to rearrange choices.

Cancellations and Refunds

Cancellations and refunds less 20% are available until Friday 12th October 2019. After this date places can be cancelled, but refunds will no longer be available as Potential Plus UK will have already confirmed the activities with providers. We advise that you take out insurance if this is a concern.

School Bookings

Any school wishing to make and pay for group bookings for its families should contact Potential Plus UK directly on 01908 646433. This event is an ideal opportunity for schools to use their Pupil Premium to aid the attendance of a family.

 

CATERING

Saturday and Sunday Lunch

Lunch is not included in the ticket price. A common room and main hall will be available for seating for families bringing packed lunches. Close to the school there is a Tesco store, Dominos pizza and a fish & chip shop. There will be a coffee van on site providing snacks only.

 

Saturday Evening Entertainment: Meal and family entertainment 

6pm to 9.30pm

An additional option for each attendee is to take part in the Saturday evening entertainment, which includes a hot carvery, dessert and family entertainment. Join us at the Holiday Inn Peterborough West, Thorpe Wood, Peterborough PE3 6SG, 7 miles from Ken Stimpson Community School, for food, fun and an opportunity to meet your fellow Potential Plus UK members. 

Although the evening event is being held at the Holiday Inn, you do not need to be staying there to attend. Please note that there are a maximum number of places available at this evening event and places fill fast.

Menu: Carved meat, fish cakes, vegetarian pasta bake; potatoes, vegetables and gravy as accompaniments; selection of desserts; tea and coffee; squash. Other dietary requirements will be catered for separately. Please add dietary requirements when making your booking. A bar will be open throughout the evening for the purchase of other drinks. Please note that a bar tab will not be available.

 

CHILDREN

All children attending the BIG Family Weekend must have a parent or responsible adult on site at all times. We encourage parents to leave their children in their activities and enjoy some time for themselves. We have volunteers to help us to maintain good adult:child ratios in the activities. However, we understand that some children do need the assistance and support of a parent and there is the opportunity to do this if you wish.

Mini Club (0-3 yr olds)

The Mini Club is a creche facility for 0-3 year olds, with more structured activities for the 2 and 3 year olds. The Mini Club is under the supervision of a NVQ Level 3 Leader. When choosing a Mini Club ticket no further options for activities will show.

Teens (12-16 yr olds)

There is a separate event, The Enigma Challenge, taking place at Ken Stimpson Community School on Saturday 26th and Sunday 27th October. Parents do not need to stay on site with Enigma participants, but can choose to attend the Big Family Weekend if they wish.

Security

Parents/carers must ensure that their child is safe between his/her activities. Time is allowed at the start and end of parental workshops so that you can ensure your children’s safety to and fro. Each activity leader has a register of children in their activity. Parents have the option of signing their child both in and out of the activity.

If you feel you will struggle to take all your children to their different activities at the same time, please make yourself known to Potential Plus UK staff at the Query Desk during registration and we will do our best to help. If your child takes longer to settle than others, please arrange to stay in the activity and discuss with the activity leader an appropriate time to leave.

In case of an emergency, we need to know the whereabouts of all responsible adults. Please ensure you are in the workshops confirmed to you or let the Query Desk know if you intend to be elsewhere.

Special or Additional Needs

If any member of your party has a special or additional need (diagnosed or worth the activity leader being aware of) please ensure you note it on the online booking form. We add this information to the register for the activity leaders.

Activities

All children’s activities conform to Potential Plus UK’s Safeguarding Policy. Copies are available on request.

Media Coverage/Photographs

Potential Plus UK will take photographs of the day’s activities for future publication. Some of the activity leaders may also take photographs. Please refer to the parental permission on the online booking form.

Fundraising

This is a fundraising event and various fundraising activities will be taking place over the weekend.

 

ACCOMODATION

Potential Plus UK has negotiated preferential rates at the Holiday Inn Peterborough West, where we are holding the evening event. Please contact the hotel directly to make a booking. However, please note that they have limited capacity for family rooms.

Holiday Inn Room Rates

£80 B&B per room - for a maximum of 2 adults and 1 child up to and including 13 years old (child on a z-bed)

£80 B&B per family room (limited number of rooms) - for a maximum of 2 adults and 3 children

Two interconnecting rooms are available, but the charge remains £80 per room.

Breakfast is served from 7.30am to 10.30am on Saturday and Sunday mornings.

Children are allowed in the pool with an adult from 10am until 6pm at the weekend.

Other Hotels

There are various other hotels in Peterborough including Travelodge and several Premier Inns.

TWO DAY FEES – SATURDAY AND SUNDAY

Unfortunately this year we are unable to offer a reduced rate for attendance on both days, due to our need to ensure that all our costs are covered.

SCHOLARSHIP FUND

There is no automatic concessionary rate. Instead we request (and urge) members who require a discounted ticket to apply to our Scholarship Fund. At the same time we actively fundraise to support families to be able to join us at this weekend event, and to take up other Potential Plus UK services. To this end we have provided all attendees, when booking, with the option of adding a donation to their ticket price. If you are a UK taxpayer, you can ‘gift aid’ this amount and we will put it straight into the Scholarship Fund to ensure all families have the opportunity to attend and access support.

Otherwise please use this Events - Scholarship Fund Application Form to apply. Please note that in order to have sufficient time to process the application, we do need to receive forms at least 3 weeks prior to the event, so by Friday 4th October 2019.

 

SATURDAY EVENING COSTS

Child meal and entertainment (4 yrs and under) FOC

Child meal and entertainment (5 to 12yrs) £12 per child

Adult meal and entertainment (13 yrs+) £24 per person

This includes a carvery, a selection of desserts, tea and coffee, and squash. A bar will be available for the purchase of other drinks. After the meal there will be entertainment and then space to play board games. 

Please note that discounts are not available for the evening entertainment.

  

VERY IMPORTANT - HOW TO BOOK

Please make sure you have read the activity and workshop descriptions in the full programme so that you are ready to proceed with your booking. The later you are booking, the more likely it is that your first choices might be full, so please consider second and third choices. Activities that are full will not appear as available for booking.

Please follow these guidelines to book - you might find it easier to print them off before you start:

  • Book a separate ticket for EVERY parent and child who will be on site, regardless of whether or not they will be attending a workshop or on site only. The costs of the event hire and refreshments are spread over every ticket.
  • Click 'Register' above 
  • Choose Saturday ONLY tickets, Sunday ONLY tickets, or Saturday AND Sunday Tickets 
  • Select a Ticket. If booking a child's ticket please select the corresponding ticket for the age range of your child  
  • 'Optional Extra' - if this person wants to attend the evening event
  • 'Optional Extra' - if this person would to make a donation to cover the booking fee
  • 'Optional Extra' - if this person would like to make a donation to the Scholarship Fund and gift aid it
  • Choose a workshop for each time session - there are two sessions each day (11.00am - 1.00pm and 2.15pm - 4.15pm).
  • If choosing the Mini Club no further activity options will show
  • Complete the attendee details
  • Continue to add family members via the button on the top right hand side of the page
  • Once you have entered all the attendees to the booking, enter the member discount code if applicable and click 'Apply Code'. 
  • Move down to payment details
  • If paying by cheque, this needs to arrive with us within 10 days
  • On completion of payment you will receive an email for each ticket booked confirming your workshop choices
  • Please print off and bring these confirmation emails to the event to aid with registration 

Activity Choices - Please note that when booking you should only book onto one workshop per person per time session. If a workshop choice is no longer displayed it means that this workshop is FULL. If this happens please choose an alternative workshop
